MONITORING OF PROJECTS DEFITION A close communication with project holders and on-field visits (if possible during some of the activities planned by the project); gaining an overview of results output accomplished during the project and CP ideas promotion through them WHAT - Efficiency and output of activities within the project approved - Level/models of promotion of CP ideas through project and its results - Capacity of project holder in organizing implementing - Capacity and roll of partners within the project WHEN - all on-going projects must be monitored, including the preparation faze as well - after the project has been approved by EB, schedule for monitoring visit should be made immediately according to the planned activities in the project proposal - date and time of monitoring visit can be pre arranged with the project holder, but can be a “surprise visit” announced only a few days before the actual visit WHO - CC member occasionally accompanied by GS member (International Adviser, Staff Member Management and Communication or Director) - All CC members should be engaged in monitoring, so they should be taking turns - GS will appoint CC members for monitoring visits (in case they are occupied at respective time, another CC member will overtake) - Coordinator of the sector within which the project has been approved can join the visit if he expresses the wish to do so AFTERWARDS - CC member will write a short written report to the GS (if GS member joined CC, GS member will be consulted before the report is final) - CC member will send a copy of the final report to GS - GS will send a copy of the report to all CC members and SC - All comments are welcome from everybody - During EB meetings, this will be used as one of the interim and final evaluation points - GS will write a summary of all monitoring visits done (along with comments to the report – if any) for the CC meeting.
